Dockland Media Group – Event Terms and Conditions

These terms and conditions apply to all types of delegate bookings for events such as conferences, exhibitions, webinars, summits, and similar gatherings (“Events”) organised by Dockland Media Group members.

1. Definitions: (a) "Dockland Media" refers to Dockland Media Group Europe Limited (Company No. 16424434) located at 20 Wenlock Road, N1 7GU, London, UK, as well as all its affiliated companies. (b) References to "Dockland," "we," "us," or "our" refer to the specific Dockland Media Group Europe Ltd entity hosting the Event.

These terms, along with any additional conditions shared during the booking, apply to all Dockland events across the UK and Europe. Read carefully before booking.

1. Scope of Terms

1.1 These Terms, along with any specific terms included during booking or shown on your ticket, govern your agreement with Dockland Media.

1.2 If booking on behalf of others, you agree to share these Terms with them and ensure their compliance.

2. Booking & Payment

2.1 Tickets may be purchased via our main or specific Event websites, through listed contact details, or onsite where available.

2.2 Bookings are confirmed only upon receiving an official email confirmation.

2.3 Paid tickets can be settled by credit or debit card on our website or via bank transfer and must be paid within 14 days or before the Event.

2.4 Tickets are sent by email at least two weeks before the Event or can be collected at the venue with proof of your ticket code.

3. Cancellation by Attendee

3.1 Tickets are non-refundable, including for virtual Events. We do not cover related expenses if you cancel.

4. Ticket Transfer

4.1 Ticket resale or transfer is not allowed without prior consent.

4.2 With our approval, you may nominate a substitute attendee, subject to an admin fee. 4.3 For in-person Events, changes must be made before the Event starts. For virtual Events, sharing login access is not permitted.

5. Event Changes by Dockland Media

5.1 We may reschedule, cancel, or alter Events at our discretion.

5.2 If an Event is rescheduled or replaced, your ticket remains valid for the new Event and is non-refundable.

5.3 If cancellation occurs without rescheduling, we’ll notify you via email (where possible) and refund your ticket within 90 business days.

5.4 We may alter aspects of the Event (e.g., format, venue, speakers) without issuing refunds.

6. Force Majeure

6.1 We are not liable for disruptions caused by events beyond our control.

7. Attendee Conduct

7.1 You must behave professionally and follow all applicable laws and instructions.

7.2 You attend at your own risk and should arrange personal insurance.

7.3 You may be asked to show ID, occupation, or student verification.

7.4 Prohibited actions include filming, unauthorised marketing, disruptive behaviour, and anything endangering others or harming Dockland Media’s reputation.

7.5 We may record or photograph Events for marketing purposes.

7.6 Children under 18 are not allowed unless stated.

7.7 Non-compliance may result in denial of entry or removal.

8. Pandemic and Epidemic Guidance

8.1 You must not attend any in-person event if:

(a) You are currently experiencing symptoms associated with a pandemic or epidemic illness (such as COVID-19), including but not limited to a high temperature, persistent cough, loss of taste or smell, or other symptoms as identified by public health authorities.

(b) You have tested positive for the illness in question and are still within the isolation or quarantine period as defined by government guidelines.

(c) You have been advised to isolate or quarantine by a public health authority, medical professional, your workplace, school, or any relevant institution.

(d) You are awaiting test results for a suspected infection.

(e) You are aware that you have recently been in close contact with someone confirmed to have the illness and have been advised to self-monitor, isolate, or take precautionary measures—even if you are not currently symptomatic yourself.

8.2 Dockland may implement specific health and safety measures to safeguard the wellbeing of all participants, including (but not limited to) temperature checks, mask-wearing requirements, presentation of recent negative test results, proof of vaccination, hand sanitation, social distancing measures, or the use of health screening questionnaires. These requirements may vary depending on the venue, the nature of the event, or prevailing public health guidance at the time.

8.3 All attendees must follow the health and safety guidelines provided by Dockland Media, the event venue, and relevant local or national public health authorities. This may include complying with signage, floor markings, one-way systems, or specific instructions from staff during the event. Refusal to comply with such measures may result in you being denied entry or being asked to leave the premises. In such cases, no refund will be issued, and we accept no responsibility for any resulting costs or inconvenience.

9. Virtual Events

9.1 Access details will be emailed 48 hours before the Event.

9.2 We strive for smooth virtual access but are not liable for third-party disruptions.

9.3 Ensure you have proper technology and internet access to attend.

10. Intellectual Property

10.1 We retain IP rights over all Event content.

10.2 Event content is for personal use only, not for commercial redistribution.

11. Data Use

11.1 We process your personal data to manage your booking.

11.2 Our privacy policy outlines how we handle your information.

12. Marketing

12.1 We may send relevant promotional material, including third-party offers if you opt-in. You may unsubscribe anytime.

12.2 Scanning your badge at Events gives exhibitors/sponsors permission to contact you. You can opt out directly with them.

12.3 Registering for sessions allows us to share your information with session sponsors.

12.4 Interactions with sponsor ads may result in data sharing. You may opt out.

12.5 Contact third parties directly to stop their marketing or to delete your data.

13. Liability Limits

13.1 Except as stated, we exclude all implied terms.

13.2 We do not limit liability for death, personal injury from negligence, or fraud.

13.3 We are not liable for indirect losses such as loss of business, data, or goodwill.

13.4 Our liability is capped at the amount paid for the ticket.

13.5 We are not responsible for speaker views or distributed materials.

14. General Provisions

14.1 These Terms override any conflicting ticket or booking form terms unless otherwise specified.

14.2 These Terms represent the complete agreement between you and Dockland Media.

14.3 We may update these Terms without notice. Check back periodically.

15. Data Use

Governing Law 15.1 These Terms are governed by English law, and any disputes will be handled exclusively by the courts of England and Wales.
